Offices have a tendency to get a bit cluttered. Chances are, there has been a time when you haven't been able to find that one piece of paper you know you have, but you just can't remember where you put it.
Here are some ways to control the clutter that can sometimes crowd your office space.
Throw Away What You Don't Need
If you don't need it, get rid of it. That goes for extra paperwork as well as other items in your office.
Go through each piece of paper and either shred or throw it out, file it away, or take action on it. Make sure you are careful not to throw anything away that is important, and it will be important to know your office's retention policies before you throw out or shred any items.
Set aside some time on your calendar to do this purge. If you don't, chances are you'll find something else to do and the office clutter will not be addressed.
Scan Important Documents
If you think you might need a document later, scan it. That reduces the amount of paperwork you have and can also help you find something later. Just make sure you title items correctly. Labeling something IMG 1,2,3 won't help you locate it easily later on.
Remember to include the scanned files in any backup system you have.
Create a Place for New Items
Once the old and useless stuff is gone, it's time to make a proper place for new stuff. A document tray is a good idea, but make sure it doesn't just become a clean catch-all for new junk.
A two-tray system could help. Have one tray for new documents and another for things you have looked at and still need to do something with. Make sure the trays are clearly labeled so your coworkers can help you stay organized.
Get Things Off Your Desk
Items that could be in a drawer should be in a drawer. It's one way to keep clutter off your desk. If you use something every day, it can stay, but if not, into the drawer it goes.
Think about what you really need. Do you need multiple sticky notepads or is one good? How about legal pads? Pens? You get the idea. You don't need to hoard office supplies.
Stick to the New System
Doing a big office clean-out isn't great if it only gets cluttered a week later. Once you go through the old paperwork, make a promise to yourself to keep new documents more organized.
Set aside a time each week to go through paperwork that may have come creeping in during the past few days.
